You can set an out of office message in Outlook. This makes it clear to the sender that you are temporarily away.

An out-of-office message helps let other people know that your email is not being read at that time and that no response should be expected during this out-of-office period.

It also helps you indirectly. By setting an out of office notification, fewer emails related to your response will be sent. It may also reduce follow-up emails because people are aware that you are temporarily absent. Most people send an out of office message when they go on vacation, are sick or have a day off.

Set up away message in Microsoft Outlook

Open the Outlook email client. Click on “File” in the ribbon.

In the left menu, first click on “Info” and then on the “Automatic reply” button.

To send automatic replies, enable the “send automatic replies” option.

You can then use the “send only during this time range” option to specify a start, date and end date including the time in which the out-of-office message should be sent.

By default, an out-of-office message is sent once to each sender.

In the “automatic reply” field you can create an e-mail message that the recipient will receive as an out-of-office message.

In addition to a standard automatic out-of-office message, you can also apply rules to this message. These are actions that are only performed if the sender complies with preset rules.

For example, you can set the out-of-office message to be sent only to a specific sender or only directly to you (no CC or BCC). You can also set the message to be sent only if the subject or text contains a specific message.

Auto-reply rules

If you have set up the out-of-office message correctly, you will see a message at the top of Outlook “Automatic replies are being sent for this account”.

When you return, or return earlier, you can disable the out-of-office message again by clicking on the “disable” button.
